Create the file in the agent portal with a review of documentation, and deadlines, create a checklist, and add dates to calendars
Create the file in compliance, obtain any missing items, and monitor compliance requirements.
Update milestones and notes throughout the transaction.
Send welcome emails noting to copy us on all communications and submitting contracts/documentation to all parties.
Send invitations to the buyer/seller for their portal providing access to all documentation.
Monitor the EM deposit and submit receipt.
Facilitate communications with all parties through the transaction.
Work with agent admin as applicable through the process.
Monitor deadlines and documentation throughout the process.
Create transmittal for title and any amendments as needed. All documents are submitted to the agent for initials of approval prior to the parties for signature or submission.
Be sure all parties have a copy of the HOA documentation if applicable.
Create a weekly report to be sent to all parties.
Request referrals through the process from the buyer/seller as you're impressing them with the level of service to increase referrals.
Schedule inspections if needed, and monitor inspection & resolution deadlines.
Obtain repair receipts & lien waivers. Submit them to title and portal/compliance files.
Order the home warranty if needed, and provide documentation to all parties.
Monitor loan process including appraisal, loan commitment, and clear to close, obtain regular updates, and assist as needed with items.
Monitor title order, provide title commitment to parties, monitor survey if needed, request preliminary settlement statement for review, and provide to all parties.
Problem solve with title and lender as needed.
Create amendments as needed, follow up, and update the file according to the amendments.
If the file is canceled, we handle the mutual release to all parties and request documentation needed for compliance to close the file.
Submit to the concierge for utilities/moving service if applicable with an update to buyer/seller.
Schedule closing with the parties.
Confirm the final walk-through is scheduled.
Review compliance prior to closing to be sure all items are received.
Facilitate the key exchange.
Obtain closing documentation and submit to compliance.
Send a congratulatory email to clients with the final request for referrals.
Reach out for agent review and survey of client experience with all parties.
Update CRM, the agent gold mine, to be sure the agent can stay in touch with the client.
If you need services not listed here, reach out and we can discuss a package that meets your needs. Note that if your MLS charges a fee, you will be responsible for this as we do not require all contracts to be submitted to us. This allows us to keep costs down for all clients.

Send complete contract to title and lender ASAP (at most, within 24 business hours of receiving).
Obtain title commitment, verify deposit of earnest money and obtain earnest money deposit receipt.

Assist with payout sheet. Please inform me if there are any referral fees to be paid.
My role for inspections involve assisting with scheduling, uploading to the transaction management program. I will also watch out for timeline compliance, and collect/forward repair receipts as needed.
Obtain occupancy/municipal inspection from the seller, and inform buyers on action steps needed to obtain occupancy permit (if required).
Once contingencies are resolved, send buyer utilities information. Please let me know if you would prefer to use a service such as OneSource.
Order home warranty, if applicable.
Watch out for all timelines and remind you if we are nearing a deadline.
Take care of obtaining signatures on amendments (or any other documents needing client signatures), then sending to appropriate parties.
Verify that all broker-required documents are ready in advance of closing so that there is no delay in your pay-out.
Schedule closing.
Send the buyer an email with all the closing disclosure upon receipt of final numbers.
Check in with you to make sure everything is on track on closing day!
Following closing I will obtain all closing docs and upload to compliance.

While the TC costs range between $350-$775, we are only $350/closing, due once closing documents are signed. An invoice will be sent for your records. Land only transactions are $250. Listing services are $75 and are due at the submission of the listing. Note, if your cancellations rise over 25% (avg is 20%) then we may discuss a higher fee or % of cost based on how far the transaction is when canceled. This allows us to keep costs down for all agents.
We help you wrap up the broker required docs, and there is no fee. Note, if your cancellations rise over 25% (avg is 20%) then we may discuss a higher per transaction fee or % of cost per status of the file at cancellation.
While many transaction coordinators work the typical 8-4 or 9-5, we are flexible. We value flexibility in the schedule as well as work-life balance for agents and ourselves. If anything is urgent, please note as time sensitive. We always respond when monitoring emails so if you don't receive a response, please own the task as that is time protected for family and serving their needs as well as we strive to serve you and your needs.
We will need your signed service agreement and client intake form.
While some TCs may be licensed on our team, we act strictly as a TC. The real estate commission has guidelines that we must follow. Additionally, we are a nationwide company, and many areas require us to act strictly as a transaction coordinator in an unlicensed capacity. We are respectful of the boundaries and do not act as an agent as that's your skillset and time to shine. We focus on our skillset suited to serve you best as a transaction coordinator with a scalable system that allows you to attain your goals and grow with you. Due to legalities and to best protect you as well as in the best interests of your business, we suggest adding to your team an agent with the desired skillset to own the desired role.
For many clients, this is a new experience, and they find value in guidance step by step through what can be a chaotic and unfamiliar process. While you will guide them through the process and what to expect, we will help them with friendly reminders. We know they are busy packing and preparing to move so this helps things proceed in a timely manner as they anticipate closing. Even our veteran buyers value assistance in staying on task and on time with reminders during their hectic schedules. We also provide a portal for buyers/sellers where they can find all their documents, and timelines, and monitor the progress of their sale. Additionally, they will get a weekly report on their transaction. Clients value communication and high level of service.

Welcome to the technology age! We are a virtual company with online systems in place to serve you. We are also able to meet virtually or in person as needed.
Your coordinator is available via phone, email, text, and chat. For any actions, an email is required for a documented trail.
You have access to our transaction management system 24/7 which notes timelines, milestones, tasks (completed & scheduled), the progress of the file, and any notes. We also copy agents on all emails, summarize phone calls with emails, and send weekly reports to agents.
